SETUP -> Locations

Locations are used to identify physical places either domestic or international. Examples include orchards, coolstores, ports, or final destinations.

Note

Ports have very particular requirements for codes. Export documentation will require you to use official (5-letter) UN/LOCODES. These codes start with a 2-letter country code follow by 3 letters specific to the port (eg Napier port is NZNPE).

Warning

Pipfruit specific: Locations have a very important relationship to Phytosanitary Markets. The destination location/market for your sales determines the market access requirements for fruit on those sales. Although this is often managed by the coolstore it is fundamentally the exporter's responsibility.

General

Most of this information is for informational purposes, but a few fields are used else where throughout snapSales.

  • Code - location code
    • Ports - see NOTE above
    • Coolstores - their SLOC code
    • Orchards - their RPIN
  • Description - name of the location.
  • Vendor - select the vendor code from SETUP -> Vendors
  • E-mail - email address (or list of email addressed, separated by ;). For Coolstores, used to send store orders, for ports, used to send documentation.
  • Biogro Cert #
  • Alias(es) - when EDI files have different values to your Code, enter other codes here.
  • Coolstore order format - visible only for coolstores, order report format to use for this coolstore if different from the default, ie priced/standard.
  • Coolstore order EDI - visible only for coolstores, type of EDI format this coolstore uses.
  • Global GAP # - visible only for orchards, used in some sales documentation for orchards.
  • Produce types - visible for orchards, select SETUP -> Produce types the orchard grows, if left blank, it will be applied for all produce types. Used in other screens to filter orchards.
  • Address
  • Town/city - free text. The drop down list is a list of previously entered values.
  • Region - select from SETUP -> Regions (domestic)
  • Post code
  • Country - especially relavent to ports, used in documentation.
  • Market - relevant to ports, select the market this country allows (not always the same).
  • Active? - untick if no longer used which will hide in lookup lists.
  • Coolstore?, Orchard?, Port? - tick relevant boxes. Used to filter lists.
